When and why is personal data collected by Captured in Pencil?
There are three instances when personal information is collected and stored.
How is personal information stored?
All data is stored electronically, and when required, as a hard copy. When information is no longer required, or upon request of an individual, the information will be deleted and/or shredded. Payment details including bank details are not stored directly by Captured in Pencil.
How is personal information used?
1. Orders and purchases
Details, such as name and address, are used to fulfil all orders placed, and an email address for correspondence. These details are stored and archived securely as a record of all sales made, and are not used for any other purpose.
2. Newsletter subscriptions
Only two bits of information are required for the purposes of subscribing to my mailing list - name and email address. They are stored securely on a database, as well as Mail Chimps servers. When an individual unsubscribes from the mailing list, this data is deleted from both databases and no further record is kept. An individual will only be added if they opt in, and will only be added to the mailing list after completing a relevent form.
3. Competitions
Name, address, phone number and email address are required when entering competitions. These will be used to keep individuals up to date with deadlines and results. Details will be used to send out prizes to the winners, and will only be deleted when I am satisfied all prizes have been distributed and received.
4 Gift vouchers
Contact details of the original purchaser are held for the full lifespan of the gift voucher (max. 24 months), or until the voucher is used in full. This is due to potential need to send reminders in the unlikely event that the voucher is not used within the 24 month validation period, or if a refund is required within the 28 days period allowed after purchase. Recipient details are also stored until the voucher is used in full.
